Advantage Resourcing are currently recruiting for a Business Administrator on a contractual basis with our prestigious client in Scotstoun, Glasgow.

This role will initially run until March 2019, paying £9 per hour PAYE.

Successful candidates will be managing the secretarial and office activities for the project that is currently running at this site.

The client is looking for someone who has experience in a similar or parallel role. With the ability and confidence to communicate at all levels in the appropriate and most effective way.

Major Tasks & Activities:

  1. Establish and undertake the Project Team administrative and secretarial duties including time & attendance, expenses, booking travel, preparing correspondence, handling & recording telephone messages etc to the required deadlines as required.
  2. Assist the Document Controller in managing the PM documents & other documents as required.
  3. Manage the Project Team Meeting & Reporting calendar and act as the focal point for both internal & external personnel for arranging meetings and reviews including collating notes & actions as required. This is to include proficient coordination & prioritisation of appropriate diaries and liaison with external contacts.
  4. Prepare electronic documents including reports and presentation material.
  5. Be the ‘Host’ for those visiting including arranging passes, booking them in and ensuring they have everything they need from an admin point of view to undertake their task including liaising with Facilities Manager where necessary to ensure they have a desk.
  6. Organise & assist with the induction process for Staff joining the Project Team.

Other duties may include, but are not limited to:

  1. Manage Office/Stationary supplied as necessary to maintain office facilities as required
  2. Liaise with visitors and staff including visit reception, arranging meetings etc
  3. Maintaining Diaries
  4. Timesheets and Expenses
  5. Focus on order and Problem solving - Ability to determine the most practical and expedient course of action for matters relating to the smooth running of the Project Horizon Team and key events.
  6. Flexibility - Ability to adapt to changing priorities for collective effort in the team, often at short notice.
  7. Attention to detail.
  8. Ability to produce, prioritise and maintain documents/reports/presentations in a suitable & professional manner
  9. Ability to plan ahead & organise across multiple organisations & sites
